How attendance works

How Mocha HRMS records punches, decides whether each day is a working day, week off, holiday, leave or absence, and which settings drive it.

The basics

Attendance keeps one record per employee per day, with a punch-in time, a punch-out time and the hours worked between them. Days without a punch are classified automatically using the employee’s work schedule, your holiday calendar and approved leave.

How each day is classified

Mocha HRMS checks each day in this order and uses the first rule that matches:

2HolidayAn observed holiday applies to the employee’s branch on that date.
3On LeaveThe employee has approved leave. Half-day leave shows as “Half Day – leave type”.
4PresentThe employee has a punch for the day.
5AbsentNone of the above.

Which work schedule applies

  1. The schedule assigned to the employee for that date (schedule changes are effective-dated).
  2. Otherwise, the default schedule for the employee’s branch.
  3. If there’s no default either, every day counts as a working day.

Time zone

Punch times are shown in your organisation’s time zone, and the attendance date is the date in that time zone — not the employee’s browser. Imported times are also read as organisation time.

Good to know

  • There is one punch-in and one punch-out per day. Breaks are not tracked separately.
  • Punches don’t capture location or device details.
  • A day with a missing punch-out, or with punches 24 hours or more apart, counts as zero days present until it’s corrected.
  • Employees on approved leave today can’t punch in.

Frequently asked questions

No. Shift timings are recorded for reference, but attendance isn’t marked late or early against them.

No. A second punch-in on the same day shows “Today attendance already done”. Use Regularise Attendance to correct times.
