The leave module at a glance

Understanding balances
- Credited
- Days earned so far: opening balance + accruals + manual corrections.
- Balance
- Credited − days taken (+ days returned by cancelled leave − days lapsed at year end).
- Pending
- Days in requests still waiting for a decision.
- Available
- Balance − Pending. New requests are checked against this.
Every credit and deduction is recorded as an entry in a leave ledger, so balances can always be traced back to what changed them.
How days are counted
Each date in a request counts as one day, except:
- Week offs in the employee’s work schedule count as 0 — unless the policy has Count weekly offs as leave taken switched on.
- Observed holidays for the employee’s branch count as 0 — unless the policy has Count holidays as leave taken switched on.
- Half-day requests count as 0.5 and are allowed only for a single date, on policies that allow half days.
Example: Friday to Monday with Saturday and Sunday as week offs is charged as 2 days. With Count weekly offs as leave taken on, it’s 4 days.
Request statuses
Pending
Submitted and waiting for a decision. Only pending requests can be edited.
Approved
Every day approved and deducted from the balance.
Partially Approved
Some days approved, some declined.
Rejected
Every day declined; nothing deducted.
Cancelled requests were withdrawn by the employee or cancelled by an approver; any approved days return to the balance.
How leave affects pay
For India-registered organisations, approved leave days count as paid days when pay runs prorate salary. A working day with no attendance and no approved leave is treated as loss of pay (LOP). See How attendance affects payroll.
Pending days aren’t paid leave. Make sure requests are decided before you calculate a pay run.
Frequently asked questions
Not at the moment. Approvers find new requests under Leaves → Leave Request, and employees see the outcome in My Workspace → My Leaves.
Not as a leave setting. Unused leave either carries forward or lapses at year end, depending on the policy.
