Roles, permissions and access

How Mocha roles and permissions decide what each person sees in HRMS, where to manage them, and what to do when someone can’t open a page.

Roles

Roles are managed for your whole organisation on the Mocha platform. HRMS includes roles such as HR Admin, HR Business Partner, Payroll Admin, Recruiter, Manager, Team Lead and Employee, alongside the platform-wide Super Admin and Organization Admin roles.

Define roles and their permissions under User & Groups → Groups & Roles, and assign a role to a person when you create or edit them under User & Groups → Users. After a change, the person should reload or sign in again to pick up their new access.

Employees and My Workspace

People whose role is Employee use My Workspace only — the self-service portal for their profile, leave, attendance, mileage and payslips. If they open an admin page, they’re taken back to My Workspace. Employees invited from HRMS get this role automatically.

Permissions by area

Each area needs a view permission to open, plus create, update, delete or approve permissions for the actions inside it. In the role editor, permissions are listed by Module Name and Function Name:

“You don't have permission to view this page”

Most menu items are shown to all HRMS users, but each page checks permissions when it opens. If someone sees this message, give their role the view permission for that area and ask them to sign in again.

Subscription and plan limits

You seeMeaning
Access restricted — “Your subscription grace period has ended.”The latest invoice is unpaid, or the subscription term has ended and its grace period is over. Users who manage the subscription can Renew subscription or Upgrade plan; others are asked to contact their administrator.
Plan Limit ReachedAdding another employee would exceed your plan’s employee limit. Upgrade the plan to add more.
A menu item with a lockYour plan doesn’t include that feature.
