Click Switch Employee and search by name, employee ID or email.
Choose the employee’s Work State. This decides which state rules, such as Professional Tax, apply.
Choose the Salary Structure Template. The default template is pre-selected.
Enter the Annual CTC (or Annual Base Salary outside India).
Adjust any Flat Amount components for this employee if needed. Percentage and remainder components are calculated for you.
Set Pay Type, Pay Frequency, Effective From and an optional Change Reason.
Click Assign Salary Structure. You’ll see “Salary structure assigned”.
The Computed at Pay Run Time panel lists the statutory items — such as Provident Fund, ESI, Professional Tax and income tax — that will be worked out automatically for the employee’s state.
Give an increment or promotion
Select the employee. The blue banner shows their current template and CTC.
Change the CTC, template or component amounts.
Set Effective From to the revision date and enter a Change Reason, such as “Annual revision”.
Click Assign Salary Structure.
The current record ends the day before the revision date and a new record starts — nothing is overwritten. If a revision falls mid-period, the pay run splits the period between the old and new salary.
Correct an assignment
| You save with Effective From… | Result |
|---|---|
| The same date as the current record | The current record is corrected in place. |
| An earlier date, with no older history in between | The current record is moved back to the new date and corrected. |
| An earlier date that overlaps older records | You’re asked to confirm Delete & Extend Back — this permanently deletes the overlapped records — or cancel and pick a later date. |
Salary history and change log
In the blue banner, click History to see every assignment with its template, amount, dates and reason, or Change Log for a field-by-field record of who changed what.
