Settings & Team

Invite your team, set up taxes, numbering, templates and reminders, and send email from your own address.

You only see the cards your role has permission for.

Invite your team

Settings → Users & Groups.

    Open Manage Users

    Then invite a new user.

    Enter their details

    Email and first name are required; last name is optional.
  3. 3

    Choose their role or permissions

    The role decides which pages and actions they can use.
  4. 4

    Send the invite

    They receive an invite link by email and accept it to join your organization.

Use Manage Groups & Roles to set up roles and the permissions they include.

Taxes & Compliance

Settings → Taxes & Compliance.

Outside India

Under Default Tax Setting, choose the Sales Tax. Click + Add Tax Rate to add a new rate. Click Save.

India — GST Setting

  • GST registration and GSTIN.
  • Business Legal Name, Business Trade Name and GST Register Date.
  • Composition Scheme, Reverse Charge and SEZ / Overseas.
  • GSTN, E-Invoice and E-Waybill usernames.
  • Reporting Period (Monthly or Quarterly) and when to generate the first tax return.
  • HSN/SAC Code.

Transaction numbers

Customize Transactions → Transaction Number Series.

Each transaction type has a Prefix and a Starting Number, with a Preview and the Next Available Number.

Starting numbers default to 00001, so the first invoice is INV-00001. Leave the prefix empty for a number only. Prefixes must be unique and the starting number must be greater than zero.

Tokens

Build a prefix from tokens, for example INV-%YYYY%-%SEQ%:

Date formats such as %YYYY-MM-DD%, %DD-MM-YYYY% and %MM-YYYY% are available too.

PDF templates

Customize Transactions → PDF Templates.

Under Sales Templates you see My Templates and Default Templates. Hover a template to:

  • Preview it.
  • Edit Template.
  • Set Template — makes it the one your invoices use (✓ Active Template).

Click Create New Template to make your own.

Custom fields

Customize Transactions → Custom Fields → New.

Check the Field Preview and click Save.

Invoice reminders

Settings → Reminder & Notification → Invoice Reminders.

    Write the Subject and Message

    Use placeholders to fill in the details: %Customer Name%, %Invoice Number%, %Balance%, %Due Date%, %Company Name%. Add a Cc if you like — the reminder goes to the customer's email.

    Turn on Enable this reminder and Save

Send email from your own address

Settings → SMTP Configuration.

Connect your own mail server and your invoices, reminders and statements arrive from your address instead of ours.

    Add your senders

    Up to 10. For each: Sender name (optional — falls back to your organisation name), From address (must be an address your SMTP server is allowed to send as) and Reply-to address (optional). Mark one as the default sender.

    Enter the server

    Host and Port (587 by default). Encryption: TLS / STARTTLS (recommended), SSL or None — the port changes to match.

    Enter the credentials

    Username (often the same as the default from address) and Password. The password is encrypted and never shown again.

    Save, then test

    Under Test your setup, choose Send as and Send the test to (leave blank to send it to yourself), then click Send test email. What the server said is shown if it fails.

    Turn on Send mail through this server

    And click Save changes.

Chart of Accounts

Accounting → Chart of Accounts.

The accounts your sales, payments and inventory are booked to. The page shows Total Sales, Total Expenses and Net Income, and every account with its Type, Detail Type, Status and Ending Balance.

Add an account

Click New. Choose the Account Type and Detail Type, enter the Account Name (and number if you use them), and optionally make it a sub-account or set an opening balance. Click Save & Close.

Make an account inactive

Click Make Inactive on the account. If it has a balance, adjusting entries are created to bring it to zero first. Default accounts can't be edited or made inactive.
