Products & Pricing

Set up what you sell, how much it costs, the discounts you offer and the features each plan includes.

How pricing fits together

Plans & Pricing opens the Products & Services Catalog, with the tabs Pricing Plans, Pricing Components and Price Tags.

Add a product or service

Billing → Products & Services → New.

Sales, purchase and price

  • Sales Information — tick it and choose the Income Account.
  • Purchase Information — tick it and choose the Expense Account.
  • List Price and Cost — numbers only.

Click Save and Close, or Save and New to add another.

Find and manage products

The Products & Services list.

The top of the page shows Total SKUs, Avg. List Price, Tagged Clearance and Avg. Margin. Filter by Type, Department or Category, search with Find Products and Services, or open More filters for price, cost, size and color.

From ACTION: View / Edit, Duplicate, and for inventory items Adjust Quantity, Adjust Value and Edit Settings. Import adds products in bulk.

Adjust inventory

Change an item's quantity on hand or its value.

    Open the adjustment

    Click Adjust Quantity or Adjust Value on the item, or More → Inventory Adjustment.

    Fill in the header

    Mode of Adjustment (Quantity or Value), Adjustment Date, Inventory Adjustment Account and Reason. The Reference No. is filled in for you.

    Enter the new figures

    For each item, the New Quantity (or New Value). The adjusted amount is worked out for you.

    Add a Memo and click Save and Close

Reasons: Damaged Goods, Inventory Revaluation, Other, Stock on Fire, Stock Written Off, Stocktaking Results, Stolen Goods.

Create a pricing component

Manage reusable pricing components across all your pricing plans.

    Open Pricing Components and click New Component

    Name it

    Component Name (e.g. Base Subscription) and Component Code (e.g. COMP-BASE-001).

    Choose How Often It Charges

    OptionPrice fields
    One time chargeBase Amount — charged once, wherever the component is used. Use it on an invoice or a subscription.
    SubscriptionMonthly Amount (charged every month) and Yearly Amount (charged every year). Follows the plan's billing cycle.

    Save

    Amounts can't be negative.

Each card can be paused or activated, edited or deleted. A component used in a plan can't be deleted — you see "Component is in use" with the plans that use it.

Create a pricing plan

Plans are what customers subscribe to.

Open Config → Plans & Pricing and click New Pricing Plan.

    Choose a Billing Option

    OptionMeaning
    One time chargeOne set of components, charged once at a single price.
    SubscriptionMonthly and Yearly pick from subscription components, each with its own total.

    Pick the Pricing Components

    Only components that match the billing option are listed. For each one you can set when it starts and stops charging on the plan — an empty End Date means it runs for the life of the plan.

    Check the totals

    A subscription plan shows a Monthly total and a Yearly total. Only active components are counted — scheduled and expired ones are left out.

    Click Create

    Then attach the plan to a product so it can be picked on a subscription.

Switching the billing option clears the components you picked. Once a plan is in use, its billing option can't be changed.

Pause, edit or delete a plan

The Pricing Plans list.

The list shows each plan's name and code, type, billing (SUBSCRIPTION or ONE TIME), price — e.g. “$X / mo · $Y / yr” — and status.

Edit PlanOpens the plan form.
Delete PlanRemoves the plan. This cannot be undone. A plan used on invoices can't be deleted — turn it off instead. A plan still attached to items can't be deleted either.

Attach plans to products

Attach Pricing Plan to your various Products & Services.

    Open the Price Tags tab

    In the Products & Services Catalog.

    Choose what to tag

    Products & Services, Product Departments or Product Categories.
  3. 3

    Click the Pricing Plans icon on a row

    The Select Pricing Plan window opens.
  4. 4

    Choose the plans

    Related Hierarchy shows the plans already on the item's department and category. Selected Plan Details shows each plan's start and end.

    Click Select Plans

    The plans can now be picked when you create a subscription for this product.

Create a coupon

Manage discount coupons applied to your subscriptions.

Open Config → Coupons and click New Coupon.

Feature Management

Control what customers on each plan get access to.

Open Entitlements → Features and click + Create Feature.

Feature types

TypeUse it for
SwitchOn or off — Available or Not Available on a plan.
QuantityAn amount, e.g. 5 users or 10 GB. Set the Entitlement Unit, then add the Allowed Entitlements (value and display name). Mark one as Default; Set as Unlimited adds an unlimited level at the end.

A feature can only be deleted while it isn't used in any plan.

Add a feature to plans

Set the entitlement level for each plan.

    Open the feature

    Click its row in the Features list.

    Click Add Entitlements (or Edit)

  3. 3

    Add plans

    Click Add next to each plan under Available Plans, or Select All.
  4. 4

    Choose each plan's level

    Available / Not Available for a switch, or one of your allowed entitlements for a quantity.

    Click Apply

    The feature page shows “This feature is available in N plans” and an Activity Log of changes.
